    The Greater Austin Asian Chamber of Commerce is the leading partner for driving local economic growth for businesses with ties to Asia and Asian Americans. Our mission is to promote the Asian Pacific American community at large as a catalyst for local and global economic growth through advocacy, connections, and education.

    Job description:
    This position reports to the CEO and requires experience planning and executing programs and events. This position works closely with Board members and volunteers, event planners, and other vendors, facilitating Global and Local programs and building relationships with regional organizational partners and sponsors.

    The candidate must possess strong program management skills, and the ability to think strategically while effectively coordinating many moving pieces. Have the ability to manage calendars and timelines, schedule meetings and workshops including in-person, hybrid, virtual multi-point video conferences, and webinars. Must actively contribute to a positive, professional, and respectful work environment and embrace the all-in commitment required to make GAACC a successful organization.

    Primary responsibilities include but are not limited to:

    • Work with different stakeholders to collaborate on multiple programs, including GAACC committee members
    • Research and secure venues, negotiating quotes and agreements with vendors
    • Establish new program activities and expand programs within the community
    • Manage and implement logistics for events, special projects, webinars, and other assigned projects.
    • Create and manage sponsorship forms, including levels and deliverables
    • Creates, publishes, and contributes content for program communications as needed, as well as assists with web and email updates regarding event information.
    • Assist an external Event Planner and other vendors in all logistics associated with GAACC events
    • Acts as a liaison with the Board of Directors, Committees, other departments, affiliates, and external partners; handling confidential and non-routine information.
    • Develop and deliver international programs including inbound and outbound delegations, network events, and represent GAACC in global business committees.
    • Venue sourcing to place the meeting or event with the appropriate meeting space and other specifications to support each program
    • Plan and manage event budgets, monitor expenses, and manage costs at or under the set budget.
    • Process a series of post-event tasks that include timely payment of invoices, internal chargebacks, reporting, financial summary, and attendee evaluations
    • Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance.
    • Acquire event and program sponsors


    The ideal candidate will:

    • Be a conscientious and effective communicator who can present ideas efficiently and succinctly in person, in writing, and online.
    • Have experience with project/program management and conduct work in an organized manner with attention to detail.
    • Have experience with public speaking and presentation skills.
    • Have experience communicating at various levels of the organization and external stakeholders, customers, and vendors.
    • Have the ability to measure the effectiveness of programs and set objectives.
    • Demonstrate trong problem solving skills, who looks for innovative and creative solutions
    • Have a working knowledge of Google Suite/Workplace
    • Enjoy working collaboratively with a team and working independently, demonstrating good judgment and willingness to follow instructions, take initiative, and supervise volunteers/interns/contractors.


    Minimum qualifications:

    • 2+ years of program/event management experience OR Bachelor’s degree in Marketing, Communications, Event Management or related specialization.
    • Excellent demonstrable written and verbal communication skills.


    Preferred qualifications:

    • Bachelor's degree with 3+ years demonstrable in event planning and marketing experience
    • Working knowledge of Canva, MailChimp, CRM, Zoom Management, Social Media Management.
    • Experience with leading projects and managing timelines using tools like Notion, Asana, MS Projects or similar.
    • Experience with generating reports and communicating event briefs and impact analysis.
